Voice Mail for Staff & Faculty

General Information

NEW Voice Mail For (703) 726-Extensions

There is now a new voice mail system for GW's Virgina campus. All voice mail users with mail (703) 726-Extensions should follow the instructions for voice mail located here.

- The mailbox capacity is: 20 minutes
- The maximum length of each message is: 2 minutes

Your standard message retention times are:
- New Messages: 7 calendar days
- Old Messages: 3 calendar days
- Unopened Message: 5 calendar days


Logging In For the First Time
  1. When inside office, press your VOICE MAIL/AUDIX key or dial extension 4-2000 or 4-1111. When outside of the office, dial 202-994-2000 or 202-994-1111 to access the voicemail system.
  2. Enter your extension and PRESS "#" (Shortcut method: Press # instead of dialing your entire extension number at your desk telephone.)
  3. Enter your temporary password. (Your temporary password is 1 # )
  4. Follow the prompts to record your name.
  5. Follow the prompts to create a personal password. (minimum 5 digits; maximum 15 digits)

Follow the above directions 1-3, but use the password you created in Step 5 above. Then
  1. Press "2" to retrieve your messages.
  2. Press "0" to listen to each message.
Note: After listening to each message, the system will give you 3 prompts from which to choose (forward message = press 1, delete message = press D (*3), or skip to the next message = press #). Once you listen to the message, it is best to delete it in order to save space in your voice mailbox.

Creating a Personal Greeting
  1. Press "3" from the main menu.
  2. Press "1" to create a personal greeting.
  3. Press "1" to create Greeting #1.
  4. Follow prompts to record your greeting.
  5. Once you have finished recording the greeting, you can listen to and/or re-record it by pressing "1" OR immediately approve it without listening to it by pressing the # sign.
  6. Press 1 to activate Greeting #1 (the one you just recorded).
  7. When finished, hang up.

Sending Messages (Like Email, but in voice)
  1. Press "1" while listening to the main menu
  2. You will be given a chance to record your message
  3. Once you have recorded it, you can listen to and/or re-record it ("1"), or approve it immediately ("#").
  4. Upon approving your recording, you will be prompted to enter the extension (s) of the party that you would like to send your message to.
  5. If you dont have the extension, PRESS *A to alternate to name choice
Your message can be sent at a regular status ("#") or tagged with other options ("0"). These options include:
  • Urgent
  • Private
  • Scheduled for furture delivery
  • Filed Copy

Additional Features

Outgoing Messaging (Unannounced menu option "4", while in main menu) Allows you to retrieve any filed copies (See above,"Sending Messages") and check the status of messages that you have recorded and sent via menu "1" -Sending Messages .

Mailing Lists (Unannounced menu option "5", while in main menu) By creating a mailing list, you will be able to store a group of extensions, that enables you to send messages to multiple parties, without having to enter each individuals extension.

Scan Messages (Unannounced menu option "7", while in main menu) Allows you to scan through messages quickly by pre-selecting your choice in listen to the header, body or variation of the two.

Alternate Addressing (switch between name and  extension)
Press *A or *2
Use Mailing List

Playback Controls:
The following controls are used while listening to or recording messages;
 
Rewind (to beginning of message)
Press "2"
Pause
Press "3"
Continue playback after pause
Press "3"
Louder
Press "4"
Back Up (within message by 4 seconds)
Press "5"
Advance (within message by 4 seconds
Press "6"
Softer
Press "7"
Slower
Press "8"
Faster
Press "9"
