A NetID is a user id between three and eight characters long that is associated with
an account in the GW NetID system. The NetID is entered, along with a password, to access various GW systems, such
as Colonial Mail (the email system), Blackboard (the course management system), and myGW (GW
s online portal). If the NetID account has email privileges associated with it, the accountholder

Each member of GW's student body, faculty, and staff is expected to establish a NetID. A person may have only one NetID. Return to ^Top^
Your Colonial Mail account is your account on GW's university-wide email system. Your NetID
is your email username, but it is also used to log into a number of other GW systems. When asked to enter your

Everyone with a Colonial Mail account has a NetID, but not everyone with a NetID has a Colonial Mail account; some alumni NetID Ã s do not have Colonial Mail accounts associated with them. Return to ^Top^
An individual NetID is associated with a specific person; only that person is
authorized to use the account for any reason. If the accountholder loses NetID eligibility, the account is
deactivated.
Departments and organizations at GW (including academic departments and programs, administrative departments, research centers and institutes, and student organizations) may establish NetID's in order to have organizational email accounts. A department NetID is not used to access any system other than the email system. The account may have more than one authorized user, and it is not deactivated when an authorized user leaves GW. It is only deactivated upon request of the department. Return to ^Top^
4. What's the difference between a NetID and a GWid?
The NetID is used to access broad range of systems at GW. NetID eligibility is limited to GW students, faculty, staff, alumni, and affiliated individuals. Faculty and staff who leave GW lose NetID eligibility, as do students who leave without graduating. Once deactivated, a NetID remains in the system for about two years and may be reactivated if the accountholder returns to GW within that period. After being inactive for about two years, an account will be removed from the system; the NetID will then be available to the next person who requests it. A GWid (always the letter 'G' followed by eight digits) identifies a person in Banner, GW's enterprise database. Once assigned, a GWid is associated with a person for life. Anyone with a student, faculty, staff, and/or alumni role may log into the GWeb Information System (Banner's self-service interface) using a GWid and PIN, even after leaving GW. The GWeb Information System allows users to review, and in some cases update, their records. Individuals may be asked to provide their GWid's when doing business with various offices at GW, as faculty and staff may use the GWid to look up a record in Banner. Return to ^Top^

If you don't remember your current password, you may reset it using the online password reset form. You must know your
GWid and PIN to use the form. Affiliates who have never been GW
faculty, staff, or student do not have active PIN's and may not use the online password reset form. If you are not

The NetID system is updated nightly with first and last names from Banner, so the
name that is on your Banner record will also be on your NetID account. This name will be used for outgoing mail if
you use Colonial Mail; it will also appear in the online directory, and you may see it in other places
where you use your NetID.
If you are or have ever been a GW employee (i.e., received a paycheck through GW's payroll system), file an employee data change request with Human Resource Services. If you have never been a GW employee but have been a GW student, file a student name change request with the Office of the Registrar. If you have a faculty appointment but have never been paid directly by GW, contact the Medical Faculty Affairs office (SMHS and SPHHS faculty) or the Faculty Personnel office (all other faculty). If you are an affiliated university constituent (contractor, visiting scholar, etc.) and have never been a faculty or staff member, contact the Online Directory Administrator. If the first name currently in Banner is your legal first name but not the first name you generally go by, please indicate that you would like a "preferred first name" entered in Banner, not a new legal first name. Once your name is changed in Banner, the NetID system will be updated within twenty-four hours. Return to ^Top^
You will use your NetID and password if you log into the myGW portal or the
Blackboard, Acad, or Research2 systems; if you use the GWireless network, the Virginia Campus computer labs, or the
VPN; if you want to administer a LISTSERV distribution list or download certain software from the ISS Help Desk web
site. You will need to have a NetID before you can set up a G1 account to use the computer labs and classrooms
maintained by Academic Technologies, and your G1 account, though technically a separate account, will usually have
the same ID and password as your NetID account. This is not a comprehensive list—these are merely some
examples of places where the NetID is required.

You should be familiar with the Code of Conduct
for Users of Computing Systems and Services. Among other things, this policy states that you may not use another
person's account or allow another person to use your account. Please read the policy if you have not done so
already.

A NetID cannot be changed. You may, however, have your NetID deleted and then set up
a new NetID. If you do this, you may lose data (such as Blackboard postings and Calendar information) associated
with your old NetID. To have your account deleted, please request and fill out an Account Deletion Form from the ISS
Technical Services office (Academic Center B-107). The completed form must be accompanied by a valid GWorld or other
photo ID card.

11. I received a NetID account termination warning. How do I save
the email in my Colonial Mail account before my NetID is deactivated?
If you have a large number of messages you wish to save, the most efficient course
of action is to download them from the Colonial Mail server to your own computer. You cannot do this through Colonial Mail.
You will have to connect to your account through an email program that supports IMAP account access, such as Microsoft Outlook, Mozilla Thunderbird, Pegasus Mail, Apple Mail, or Eudora. With IMAP access you can
move messages easily between folders on the server and folders on your own computer ("local folders"). You can even
connect to more than one account at once and move messages between them (assuming both accounts allow IMAP access).

You become eligible for a NetID once the Banner system indicates that you have
officially accepted an offer of admission to GW (up to two terms ahead of your entry term). If you have been offered
admission but have not officially accepted the offer, you are not yet eligible.

You must request your NetID online through the Account Center. You will need to know your GWid and PIN in order to request a NetID. Your GWid
is the letter 'G' followed by eight numbers. It should be in your admissions packet, but if you cannot find it
there, go to the GWid page to retrieve it. Your PIN is the
six-character password that you use along with your GWid to log into the GWeb Information System. You must log into the GWeb Information System using your default PIN
(usually your birth date in MMDDYY format) and reset your PIN before you can use it to request a NetID. A default or
expired PIN cannot be used to request a NetID.

University regulations require that you be registered in the Banner system for each fall and spring term in order to maintain your student status. If you are not taking courses, you must be registered for leave of absence, continuous enrollment, study abroad, or another valid status in order to maintain your NetID eligibility. If your eligibility is restored during this warning period, you will be notified. 20. I had an account when I was at GW before, and now I've
returned. How can I reactivate my old account?
Contact the ISS Help Desk at 202-994-5530 to ask whether your old account is still
in the NetID system, and if it is, request that it be activated. You must be in Banner as an incoming or registered
student before we can reactivate your account. Your password will not have changed since you last used the account;
if you do not remember it, you may reset it via the online password reset form.

and new course registration information from Banner. If you created your NetID today, you will be able to log into
Blackboard tomorrow morning.

you use Colonial Mail (IMAP mail clients, such as Outlook, let you customize
your outgoing mail name); it will appear in the online

it in other places where you use your NetID.
If your legal name has changed, you must file a name change request form and supporting documentation with the appropriate office to have the name changed in Banner. If you are a student who is or has been employed by GW in any capacity (including work-study job), file an employee data change request with Human Resource Services. If you are a student who has never been a GW employee, file a student name change request with the Office of the Registrar. If you generally go by a first name other than your legal first name (for example, your middle name or a nickname) and prefer to have that first name in the NetID system, email the Office of the Registrar from your Colonial Mail account and ask them to put a "preferred first name" in Banner for you. (Be sure to emphasize that you are not asking for a change to the legal first name in Banner so that you do not have to provide supporting documentation.) Once your name is changed in Banner, the NetID system will be updated within twenty-four hours. Return to ^Top^
Log into the GWeb Information System and select "Student Detail Schedule" from the Registration Menu to make
sure that you are registered for the current term. Even if you are on continuous enrollment, leave of absence, or
study abroad, this must show up in the registration system to be official. You should see a registration with
an "associated term" that is the current term.
If you turned in a registration transaction form but don't see any registration in GWeb for the current term, select "View Administrative Holds" from the Student Records Information Menu to see if there are any holds on your account. Some types of holds do not allow you to register. Take whatever steps are necessary to resolve any registration holds. Once the holds are removed from your account, contact the Office of the Registrar and ask them to process any pending registration. If you did not turn in a registration transaction form for the current term, or if there are no holds on your account but you are not registered, contact your advisor, your academic department, or the Office of the Registrar for assistance. If you were registered for the last term, then you have thirty days from when you receive your account termination warning before your account will actually be deactivated. If you regain student status during this thirty-day period, you will receive an automatic notification from the NetID system that your account eligibility has been restored. If your account is deactivated, you may call the ISS Help Desk at 202-994-5530 once you regain student status to request reactivation of your account. During your thirty-day warning period, you will not be able to log into myGW. You may still use Colonial Mail. Return to ^Top^
24. I received an account termination warning, but I plan to take
classes again in the future. Can I keep my account active until I come back?
No. If you are no longer an enrolled student and you are not a GW graduate, you are
no longer eligible for a NetID account. If you return as a student within two years from when your account is
deactivated, you may call the ISS Help Desk at 202-994-5530 to have your old account reactivated at that time.

25. I received an account termination warning, but I just
graduated. Don't I get to keep my account?
Alumni are eligible to keep their NetID's indefinitely, with Colonial Mail privileges for
one year following the official graduation date. If you received a termination warning, chances are your degree
hasn't officially been awarded yet. Log into GWeb Information System and view your unofficial transcript. If you see a degree with a status of
"Awarded," then you are officially a GW graduate. If you see "Sought," "Not Cleared," "Applied for Degree
Clearance," or some other status besides "Awarded," then you have not officially been awarded your GW degree yet.
If GWeb indicates that your degree was awarded recently (within the last week or so) and you have not received a message informing you that your account eligibility has been restored, it is possible that your status has not yet been updated in the alumni records system. Your record should be updated within a week, restoring your eligibility. However, if your thirty-day warning period is due to expire within the week, please contact the Advancement Records office and ask them to update your record to reflect your alumnus/a status. University regulations require degree-seeking students to be continuously enrolled (i.e., registered for each fall and spring term) until the degree is conferred. If you are no longer a student but are not yet a graduate, then you are not eligible for a NetID. If your degree clears during your thirty-day warning period, your account status will be updated automatically, and you will be notified that your account is no longer scheduled for termination. If your degree does not clear during that period, the account will be deactivated. You may contact the ISS Help Desk at 202-994-5530 once your degree is awarded or once you register again to request reactivation of your account. 37. I received an account termination warning, but I expect to
teach again in the future. May I keep my account active until I return?
No. You must have a paid or unpaid faculty appointment in order to be eligible for a
NetID as faculty, and eligibility ends one year after the end of your appointment. If you want to inquire about
obtaining a paid or unpaid appointment, please contact the academic department with which you are affiliated.

If you believe that the information in Banner is incomplete and/or incorrect, please contact your supervisor or your department's liaison with Human Resource Services. If you regain staff status during your seven-day warning period, you will receive an automatic notification from the NetID system that your account eligibility has been restored. 47. I received an account termination warning. My staff position
has ended, but I am going to continue to work for GW as a contractor. How can I keep my account active?
If you are no longer a GW employee (i.e., you will no longer be receiving a paycheck
through the GW payroll system), but you will still be working for GW through another company or as an independent
contractor, then you must be sponsored for a NetID as a "GW affiliate" (or "affiliated university constituent").
Since you already have an account, you should not fill out the online affiliate account request form. The dean or
department head of the department you are working for must contact the Online Directory Administrator (the Human
Resource Services staff member who handles affiliate accounts) at elecdir@gwu.edu. Your sponsor should explain that you were a staff member who will now be a
contractor and should provide the following information:

Individuals who fall into the following categories are eligible for affiliate
NetID's with appropriate documentation and sponsorship:
Contractors (short-term and long-term). Includes independent contractors, individuals hired through temporary agencies and consulting firms, and on-site staff of companies contracted to run GW operations (dining services, postal services, facilities, bookstore, etc.). Please note: temporary or "wage" staff who are paid through GW's payroll system are not classified as contractors and should request accounts through the staff account request process. Visiting scholars. Includes participants in visiting scholar programs such as those hosted by the Research Program in Social and Organizational Learning (RPSOL), The Sigur Center for Asian Studies, the Institute for European, Russian, and Eurasian Studies, the School of Business, the Law School, The Center for International Science and Technology Policy, the Center for Nuclear Studies, and The Space Policy Institute. Individual visiting scholars who are not part of an organized program but have been officially invited by GW are also eligible for NetID's. Please note: temporary faculty are not classified as visiting scholars and should apply for NetID's through the faculty account request process. Medical Faculty Associates staff. Includes MFA staff with a documented need for a NetID account (e.g., staff whose job responsibilities include assisting GW faculty with Blackboard course management). National Security Archive staff. An affiliate account sponsor may be a Vice President, dean, or department head. The
sponsor must be a GW employee, i.e., an individual who holds a paid position with GW.
Contractors and visiting scholars: Sponsor is the dean or department head of the department with which the contractor or visiting scholar is affiliated. Medical Faculty Associates staff: Eligible staff are usually sponsored by the Senior Associate Dean for Academic affairs in the School of Medicine and Health Sciences, but may be sponsored by another dean. Your sponsor or another GW employee authorized by your sponsor must fill out an
online request for an account. The request form is posted on the Account Center; the requestor must be logged into myGW in order to fill out the form.
[Note: If you have ever had any contact with GW in the past, you may already have a record in the Banner
system. Please advise your sponsor of this and ask him/her to indicate this in the "Comments" section of the account
request, as this will help prevent creation of a duplicate record.]
After the request is submitted, the account sponsor will receive an email summarizing the details of the request. The sponsor must reply to the email to confirm that the request is legitimate (the requestor, if different from the sponsor, will receive a copy of the email but should not respond). Once the sponsor confirms the legitimacy of the request, the Online Directory Administrator, a Human Resource Services staff member, will enter the affiliate's information into the Banner system. The requested account will then be automatically activated within thirty minutes. The sponsor will be notified by email that the account is active and should pass this information on to the affiliate. The sponsor (or requestor) must give the affiliate the initial account password that was entered into the request form. The affiliate should change the initial account password to something of his/her own choosing via the Account Management Console. If a requested account is not activated within fourteen days of the initial request, it will be deleted from the NetID system, and a new request must be submitted. Return to ^Top^
You may keep your NetID for the duration of your affiliation with GW. However,
affiliate NetID's require periodic renewal. Toward the expected end of your affiliation with GW, or toward the end
of the maximum renewal interval for your affiliation type (whichever comes first), your sponsor will be contacted by
email and asked whether your affiliation has been extended. Your sponsor must reply to the message if your account
is to be renewed.
Once your affiliation with GW ends, you will receive an emailed warning notice advising you that your NetID account is scheduled for termination. Visiting scholars will receive thirty days notice; all other affiliates will receive seven days notice. Return to ^Top^
Any affiliate who requests a NetID will get a Colonial Mail account along with it. If you
do not intend to check your Colonial Mail account frequently, be sure to log into the Account Management Console and set up email forwarding to an account you do check. (Uncheck the
box labeled "Deliver a copy to inbox when forwarding email" if you don't want your Colonial Mail inbox to receive a copy of
each forwarded message.)

The NetID system is updated nightly with first and last names from Banner, so the
name that is on your Banner record will also be on your NetID account. This name will be used for outgoing mail if
you use Colonial Mail; it will also appear in the online directory, and you may see it in other places
where you use your NetID.
If you have ever been a GW employee (i.e., received a paycheck through GW's payroll system), file an employee data change request with Human Resource Services. If you have never been a GW employee but have been a GW student, file a student name change request with the Office of the Registrar. If you have never been a GW employee or a GW student prior to becoming a GW affiliate, contact the Online Directory Administrator to request that your name be changed in Banner. If the first name currently in Banner is your legal first name but not the name to which you generally answer, please indicate that you would like a "preferred first name" entered in Banner, not a new legal first name.Once your name is changed in Banner, the NetID system will be updated within twenty-four hours. If you are an affiliate who has never been a GW student, faculty member, or staff
member, you are not eligible to log into the GWeb Information System and will not have a PIN. Therefore you will not
be able to use the online password reset form. To reset your password, fax proof of identity to IMAG at (202)
994-9781 and indicate the NetID account for which you are requesting a password reset and the name and contact
information of your affiliate account sponsor. Once you receive your new, temporary password, log into the Account Management Console and change it as soon as possible.

Contact your account sponsor as soon as possible. Your account sponsor must contact
the Online Directory Administrator and
request that your account be renewed, indicating the amount of time for which your affiliation has been extended.
Once that information is entered in Banner, you'll receive a message informing you that your account eligibility has
been restored. If your account is deactivated before the renewal information is entered in Banner, please ask the
Online Directory Administrator to have your account reactivated.

If you move from one department to another, your account sponsor
will change. Have your new account sponsor contact the Online Directory Administrator to report the change. Your sponsor should explain that you are an
affiliate who is changing departments and should provide the following information:

58. I am an account sponsor. The person I sponsor is leaving GW
earlier than expected. Whom should I notify?
Contact the Online
Directory Administrator to report the change. She will enter the affiliation end date in Banner, and once this
date is reached the affiliate will receive an email warning that the account is scheduled for termination. Visiting
scholars receive thirty days notice; other affiliates receive seven days notice. If you would prefer that the
account be terminated immediately, be sure to let the Online Directory Administrator know.

As soon as your GW degree is officially awarded, you are eligible for a NetID as an
alumnus or alumna. You may view your degree status inGWeb Information System.

If you are a recent graduate who did not have any lapse in enrollment prior to
receiving your degree, then the NetID you had as a student is probably still active.
If you are a recent graduate whose account was deactivated because your enrollment lapsed before your degree was awarded, you may call the ISS Help Desk at 202-994-5530 to request reactivation of your account. Alumni accounts may retain Colonial Mail privileges for one year following the date on
which your degree is officially awarded. You may view your degree date in GWeb Information System.

Alumni are eligible to keep their NetID's indefinitely, with Colonial Mail privileges for
one year following the official graduation date. If you received a termination warning, chances are your degree
hasn't officially been awarded yet. Log into GWeb Information System and view your unofficial transcript. If you see a degree with a status of
"Awarded," then you are officially a GW graduate. If you see "Sought," "Not Cleared," "Applied for Degree
Clearance," or some other status besides "Awarded," then you have not officially been awarded your GW degree yet.
If GWeb indicates that your degree was awarded recently (within the last week or so) and you have not received a message informing you that your account eligibility has been restored, it is possible that your status has not yet been updated in the alumni records system. Your record should be updated within a week, restoring your eligibility. However, if your thirty-day warning period is due to expire within the week, please contact the Advancement Records office and ask them to update your record to reflect your alumnus/a status. If you are a medical resident who graduated from the residency program recently, please contact the Director of Graduate Medical Education, who can provide your graduation information to the Advancement Records office and ensure that your record is updated. 64. I received an account termination warning. I have finished my
classes, but I haven't graduated yet. Can I keep my account until I graduate?
University regulations require degree-seeking students to be continuously enrolled
(i.e., registered for each fall and spring term) until the degree is conferred. If you are no longer a student but
not yet a graduate, then you are not eligible for a NetID. If your degree clears during your thirty-day warning
period, your account status will be updated automatically, and you will be notified that your account is no longer
scheduled for termination. If your degree does not clear during that period, the account will be deactivated. You
may contact the ISS Help Desk at 202-994-5530 once your degree is awarded or once you register again to request
reactivation of your account. You may view your degree and registration status inGWeb Information System.

65. I am a GW alumnus/alumna, and I established a NetID through the
Alumni Online Community registration page. Now I'm auditing a course and I need access to Blackboard and email. What
do I do?
Contact the ISS Help Desk at 202-994-5530 and ask to have Colonial Mail privileges added to
your NetID account. Your course audit registration must be in the Banner system, so please allow about a week after
you turn in your registration form before requesting email access. You'll be able to log into Blackboard the day
after your Colonial Mail account is activated.

66. I want to keep my NetID to log into the Alumni Online
Community, but I don't want the Colonial Mail account anymore. Can I get the Colonial Mail account deleted?
Yes. Please download and fill out an Account Deletion Form from the bottom of the
Account Center page. Be sure to indicate clearly that you wish to keep your NetID active but delete your Colonial Mail
account. The completed form must be accompanied by a valid GWorld or other photo ID card.

67. I graduated more than a year ago and I still have email access.
When is my Colonial Mail account going to be turned off?
We are working on some changes to our processes for handling alumni account
terminations, and some accounts that are technically ineligible for Colonial Mail still have access right now. We will
notify you via email at least one month before your account is terminated. If you do not check your Colonial Mail account
at least once a week, we strongly recommend that you log into the Account Management Console and set up email forwarding to an account you do check. (Uncheck the
box labeled "Deliver a copy to inbox when forwarding email" if you don't want your Colonial Mail inbox to receive a copy of
each forwarded message.)
