EVENT PLANNING GUIDE

for 2006/2007


Process - Conception, Formation and Birth!

1. Someone comes up with an idea

2. Contacts Christina or Eleanor to include time for Brainstorming at Meeting

3. Propose idea to the group

4. Brainstorm – decide what we want it to include

5. Form a committee

A committee will do everything associated with the event – including contacting any speakers/performers for the event, talking to Event Planners (if needed), scheduling and coordinating volunteers for the event – who needs to bring what, people to set up, break down

Committee will coordinate with Christina or Eleanor to reserve space for the event (clizzi@gwu.edu, ellapg@gwu.edu)

For any food at the event - talk to the Food Service Coordinators about filling out the appropriate food waivers.

Alicia or the committee need to write up an event description blurb about to be sent out over listservs and to other groups for advertising as well as through the faculty and faith groups liaisons. Whoever writes the blurb needs to send it to Melissa and Laura.

Food Waivers – within 1 week

Student Group Co-Sponsorships (for additional publicity, money, support)

Talk to Lara and Melissa, and Faith Group Liaisons if applicable within 5 days

All groups need to be confirmed within 2 weeks if the groups want to be on the flyer.

Fliers

Designing and Approving Fliers:

3 weeks before the event need final copy of flier and palmcards

See attached sheet on Flier and Palmcard requirements

Contact Flier Girl – soliveri@gwu.edu

Flier girl will get fliers approved and copied

Give them to SAC, Scheduling Office to be put in office, bulletin boards in Marvin Center.

Posting and Distributing Fliers

2.5 Weeks before event

Coordinated by Committee and Alicia (if needed)

Warning: It’s hard to get space if you don’t do this way ahead of time.

Bring Tape!

Places to Post: Dorms, Classroom buildings, Academic Center, Outdoor Community Posts

Palmcarding – Committee does this as they determine

Tell Sara if you want palmcards, how many to make

Make sure you arrive at your event AT LEAST a half hour early for your event!!!!
