University departments report time and attendance for biweekly employees electronically through the Time Reporting System. However, there may be occasions where it is not practicable to report time electronically. For example, an employee may have had a change in home department in the middle of a pay period and both offices cannot simultaneously access the employee's record, or an employee's secondary position may be in an unrelated department. When it is impractical to report time electronically, time may be manually reported using a time sheet.
A separate time sheet is required for each employee and position reporting hours. If time is reported for two jobs, two time sheets are required. Separate time sheets are also required for each pay period. If more than 40 hours are reported for a nonexempt employee in a week, the system will automatically calculate hours over 40 to overtime and pay the adjusted overtime rate.
The time sheet is also used to report hours not reported for a prior period or to request a payroll adjustment. Time sheets, however, cannot be used for the following: to request labor corrections (refer to the Payroll Manual regarding labor redistributions procedures) or to request retroactive pay for pay rate changes (these should be submitted in memorandum form).
The time sheet for the current pay period must reach Payroll Services by noon, the second business day following the close of the pay period (generally a Tuesday). Refer to the Bi-Weekly Payroll Calendar for time submission due dates. In case of time sheets for missed hours or adjustments, the form should be submitted as soon as possible.
All time sheets must have an authorized signature. The employee approving the time sheet cannot be the same person for whom the time sheet is being prepared.
