Hiring GW Students

Preparing to Hire GW Students

Before hiring a GW student, supervisors should attend applicable training and orientations sponsored through Employee Training and, Development (ETD); the GW Career Center; Payroll; and other departments. Supervisors may use the following methods to recruit students:
  • Send job listings to the GW Career Center to advertise for current students
  • Invite referrals from current student employees
Supervisors should interview students as they would other job candidates. Supervisors should refer to the University Employment Interviewing Guidelines.

Hiring GW Students

Responsible Party Action/Requirement Follow-up Action/Requirement
Supervisor Direct student to the GW Career Center. The student will complete the Employment Eligibility form (I-9) and tax information.

Please note that international students must complete additional tax documents with the University's international tax specialist in the Tax Department at 2100 M Street, Suite 203.
The GW Career Center will provide the student with an I-9 receipt when he or she has completed the paperwork.

Please note: Students may also complete their I-9 forms at Division of Human Resources (DHR) and, with the exception of international students, complete tax forms at the Payroll Department.
Student Must supply his or her supervisor with an I-9 receipt (or a photocopy of the I-9 receipt) before starting work with the department, even if the student is already working elsewhere on campus.*  
Supervisor Should retain a copy of the I-9 receipt for his or her records for the duration of the student's employment with the department. There are no exceptions to this policy.  
Supervisor Must complete an Employee Hire form (guidance for filling out this form) if the student has not worked for the University, or a Change in Status form if the student is already employed elsewhere on campus. The Employee Hire form must be received in the GW Career Center no later than the first day the student temporary or wage account employee begins work.
* Sometimes students lack the proper identification to fill out the I-9 and must have it sent from home. These students are not allowed to work until their paperwork is complete and they have provided their supervisors with an I-9 receipt.

Guidance for Completing the Employee Hire Form For Student Employees
The supervisor should ensure that the Employee Hire form is legible and includes a contact name and phone extension or email address. The position number must be written on the hire form. All student employees are hired using the staff assistant position title and associated position numbers unless the department specifies a title and a matching position number. If the supervisor does not know the position number, the GW Career Center will provide the information upon request. If a position number is not listed for the Banner index the student is being hired under, one will need to be ordered from the Budget Office.

The supervisor should keep a copy of the hire form that is submitted to the GW Career Center in case any questions arise.

The GW Career Center requires only two signatures on the Employee Hire form; however, the hiring department's policies and procedures may require additional signatures.

Additional Instructions for Hiring International Students
International students must complete additional tax documents with the University's international tax specialist in the Tax Department located at 2100 M Street, Suite 203.

In addition, please note that most international students have strict regulations governing the number of hours they may work. F-1 visa holders (and most J-1 visa holders) cannot work more than 20 hours per week except during academic breaks (winter break, spring break, and summer break if they are returning to school in the fall). Contact the International Service Office (web site) for more information.

A student's employment may be terminated for disciplinary reasons.
