Recruiting for a Staff Position

To begin the recruitment process for a vacant position, the hiring department should complete the Recruitment Action Request (RAR) form to post the position. All completed Recruitment Action Request (RAR) form must have the necessary signatures based on established procedures approved by the division.

The hiring department should forward applicable forms to the University Budget Office, located at Rice Hall, 2121 Eye Street, N.W., 7th floor, no later than 1:00 pm on Thursday for the position to appear on the next Staff Employment Opportunities Listing that is updated each Friday. Recruiting for a Medical Center Staff Position
Medical Center hiring departments should forward the Recruitment Action Request (RAR) form to the Health Affairs Administration Office, located at Ross Hall, #714, 2300 Eye Street, N.W. no later than noon on Wednesday for the position to appear on the next Staff Employment Opportunities Listing that is updated each Friday. Supervisors may contact the Health Affairs Administration Office at (202) 994-2137 with any questions.

Recruiting for a Staff Position for a Research Grant
The hiring department should forward the Recruitment Action Request (RAR) form to the appropriate Research Services Coordinator in the Office of Research Services (ORS). The names of the Research Services Coordinators, along with their areas of assignment, campus addresses, and telephone numbers, may be obtained at The Office of Research Services web site. Hiring departments should submit the Recruitment Action Request (RAR) form to the Office of Research Services (ORS) no later than noon on Wednesday for the position to appear on the next Staff Employment Opportunities Listing that is updated on Friday.

Advertising a Position Externally
Regardless of the venue selected (i.e., newspaper, professional journal, employment website, or listserv), all advertising for staff positions must be coordinated with and approved by the Department of Compensation Administration.

The Staffing and Compensation Services (SCS) Specialist assigned to the vacancy will advise the hiring department about the most effective sources for attracting a qualified pool of diverse candidates to fill the vacancy. The Staffing and Compensation Services Specialist will draft the advertisement and provide the hiring department with a copy for review before placing the advertisement. If the hiring department prefers to draft the advertisement, a copy of the draft must be submitted to the Staffing and Compensation Services Specialist for review.

The Staffing and Compensation Services Specialist will be responsible for placing all advertisements, unless the selected venue requires a membership that the Staffing and Compensation Services (SCS) Division does not have. These types of memberships typically apply to professional associations and listservs. Departments may place advertisements with these venues after the Staffing and Compensation Services Specialist has approved the ad.

Hiring departments are responsible for paying for advertising their vacant positions in their departments. The Department of Compensation Administration will pay for periodic advertisements that it initiates in order to bring in a qualified pool of diverse candidates for University-wide positions and for which there are multiple vacancies (i.e., advertisements for a Secretary, Executive Aide, or Executive Coordinator).

Job fairs are another means of promoting or advertising employment opportunities at the University. Each year, the Department of Compensation Administration participates in several comprehensive job fairs organized by external organizations. The Staffing and Compensation Services (SCS) Division also works with individual University departments to conduct job fairs for positions that are difficult to fill. Hiring departments must coordinate their participation in job fairs through the Department of Compensation Administration.
