What is a University Affiliate?

An affiliate is an individual not paid as a GW employee who is a Visiting Scholar, contractor, consultant, or temporary worker, Friend of the University or Library, GW Hospital Staff, or MFA Staff.

How do I obtain a NetID or GW email account for an affiliate?

An affiliate account may be requested online at http://helpdesk.gwu.edu/accounts/
See link under Affiliates/Visiting Scholars, MFA, etc.
Login requires NetID/gwu.edu email login and password. 

Please note that by policy an affiliate must be sponsored by a University Vice President, Dean or Department Head.  Friends of the University must be sponsored by a Vice President.

  How long does it take to get a NetID for an affiliate?

With the exception of University holidays and weekends, a NetID can generally be obtained within 24 hours.  However, such depends upon how quickly sponsors validate the requests.

I received a notice that my NetID account will expire. How can I renew it?

Your sponsor may submit a request to elecdir@gwu.edu , noting your name, NetID and the period of renewal up to one year.

I-9 Processing

What is an I-9 form and where can I obtain a copy?

An I-9 form is the Employment Eligibility Verification Form which helps employers verify identity and eligibility to work in the United States and is available  on the HR form section.

Who needs to complete an I-9 form?

An I-9 form must be completed when a person is hired to perform labor or services in return for wages.

Do I need to complete an I-9 form for independent contractors?

No. If you contract with another company for the services of an individual and pay the company for those services, you are not required to complete an I-9 form.  The other company is responsible for completing the I-9 form for that individual.

How long do I have to complete an I-9 form?

Employers must ensure that the employees fully complete Section 1 of the Form I-9  on or before the date of hire.  Section 2 of the I-9 form must be verified by an authorized University representative within 3 business days of the hire.

When must I re-verify my I-9 form?

An I-9 form must be re-verified no later that the date that the work authorization expires.

Will I be notified when my work authorization is about to expire?

While HR will make every effort to notify employees of impending expirations of work authorizations, it is the responsibility of the employee to ensure that their eligibility for employment is maintained.

Why can't I tell new hires to bring a driver's license and Social Security Card?

To avoid charges of discrimination, you must allow all employees to choose which document or combination of documents they want to present from the List of Acceptable Documents.

Why can't fax my documents?

Employees must present original documents. The only exception is a certified copy of a birth certificate.

Do I need to appear in person to complete my I-9 form?

Because the authorized representative must  attest to identity as well as employment eligibility, an employee must appear to complete their own I-9 form.

Where can I complete an I-9 form?

Form I-9s may be completed at Human Resources in the following locations:

Human Resources - 2121 I Street, NW, Suite 101, Washington, DC (202) 994-8500

Virginia Campus – 44983 Knoll Square, Suite 391, Virginia Campus Bldg 2 

Students may complete form in the Career Center located at 1922 F Street NW, (202) 994-6495.

Employment/Mortgage Data and Verifications

What information will HR release regarding my employment?

Unless legally compelled, HR will only confirm dates of service and position titles held without receiving a written release from an employee. No confidential information such as salary, performance, eligibility for rehire, etc. may be released.

With a written release, HR will release information as designated in the release document.

Can I obtain a copy of my employment records?

Yes, you may obtain a copy of your employment records. Please allow at least one business day for production.  Requests for records may be made via records@gwu.edu .  Please specify date required. 

Identification will be required upon pick up of records at Human Resources, 44983 Knoll Squaret Suite 391 Ashburn, VA 20147

Records will not be mailed.

I am a federal investigator.  Whom should I contact for information regarding current or former employees?

Contact Human Resources HRIS at (703) 726-3679. Positive identification and current release documents (dated within one year) will be required.

Where can I access the staff/faculty telephone directory?

The online directory is available at http://my.gwu.edu/mod/directory/

My title is listed incorrectly in the online directory, how can I update it?

Title changes cannot be made online.  Please contact the directory coordinator for your department who will forward  documentation  from your VP, Dean or Department Head of the corrected title to elecdir@gwu.edu

My department has a new website that we would like listed in the directory. Where can our departmental directory coordinator add this information?

Upon login to the portal, coordinators may update departmental information at http://my.gwu.edu/mod/deptdir/admin/

I am a departmental directory coordinator and I have forgotten how to make updates. Where can I find this information?

I have been assigned to be the departmental directory coordinator for my department. How can I get started?

Send an email to elecdir@gwu.edu , noting the name of the departments for which you will have responsibility for updating the departmental section.

Can I update all the phone numbers for my department?

Currently, individual phone numbers may only be updated by the employee via Gweb.

Where can I obtain a hard copy of the online directory?

Beginning in 2008, hard copies of the Communications Directory will not be produced.  Copies of th e 2007 Communications Directory may be ordered from University Stores.
