INFORMATION

Minimum Qualifications:

Bachelor's degree an appropriate area of specialization plus three years of relevant experience. Degree requirements may be substituted with a combination of education, training and experience.

Three to five years of progressively responsible library, facilities, or project management experience, or equivalent, including at least one year of customer service experience and one year of supervisory experience.

Experience using standard office software (email, word processing, spreadsheets) to communicate effectively and record statistics accurately.

Desired Qualifications:

Using the English language, must demonstrate the ability to:

(a) provide accurate information about existing policies and procedures by telephone, e-mail and in person;

(b) actively listen and respond to inquiries and complaints;

(c) accurately refer patrons to the Manager of Entrance & Borrowing or other service points;

(d) give verbal instructions to unit staff;

(e) write instructions for accomplishing routine and complex job tasks;

(f) write reports that require gathering data from various sources and organizing or summarizing it for the Department Head.

(g) prepare written notices for Library staff and patrons on building hours and study room availability.

Problem-solving and decision making: This position resolves complex operational problems and may grant exceptions to specific policies and procedures. Develops recommendations for exceptions in consultation with the Entrance Team.

Requires the application of initiative and resourcefulness to help define and assess the entrance policy and privileges offered and to implement service improvements.

Function:

Oversees library operations during overnight and weekend hours. Demonstrates good judgment, effective problem solving and critical thinking skills. As the senior staff member (and only permanent employee) on duty, the incumbent must handle complex issues as they occur during overnight hours.

Greets library patrons and facilitates access to the building by interpreting established guidelines and exception parameters; communicates library access policies to those who inquire, monitors patrons entering and exiting the library, provides directional as well as general assistance to students, faculty, and other patrons.

In collaboration with colleagues, patrons, appropriate GW facilities departments and the University Police Department (UPD), maintains a safe environment for library users. Serves as primary contact with the University Police Department ,UPD, during overnight and weekend hours. Observes patron activity at the entrance and exit gates, as well as within the library, and reports odd or suspicious observations to UPD. Monitors building alarm systems, responds to alarms that have been activated, and provides follow-up information to UPD.

Monitors all areas of the building seeking repair and housekeeping needs. Serves as primary contact with University Facilities Departments during overnight and weekend hours. Utilizes the FIXit program to submit requests for building maintenance work, follow-up with University departments such as Housekeeping and Facilities to verify the status of pending jobs, and communicates relevant information to appropriate Gelman Library Staff.

Supervises, trains and coaches Entrance Services Staff on: Gelman Library System (GLS) customer service standards, entrance policies and patron eligibility requirements, building monitoring and reporting procedures, opening and closing procedures. Documents work performance problems and takes appropriate action. Collects statistics on building access and use, and utilizing standard office software, records entrance data and monitoring activity, documents incidents, and saves relevant information in shared electronic folders.

Assists patrons with minor computer, printer, and copier problems to include minor repair and troubleshooting of library computers; manages the moving of tables, chairs and signs for special room arrangements and events.

Provides circulation and reference service during overnight and weekend hours when primary service desks are closed.

Participates in departmental meetings and various GLS groups that exchange information and generate ideas in order to assist the development of policies and procedures for the department as well as plans for the entire library.

Performs other related duties as assigned.
