POSITION DESCRIPTION
Issued: September 25, 2007 PRIMARY RESPONSIBILITIES The Library Specialist in Monographs Acquisitions is a member of a dynamically evolving Digital and Technology Services Department and reports to the Manager of Monographs Acquisitions. This department is responsible for the acquisition and management of print and electronic monographs, including non-book formats (videos, DVDs, etc.) and those standing and/or blanket orders that are cataloged separately. ESSENTIAL FUNCTIONS The Library Specialist in Monographs Acquisitions will be cross-trained to perform several related monographs functions including ordering, receiving, DLC copy cataloging, claiming, invoice verification and processing, and quality control. The overriding goal is to get books ordered within days of selection, and moved from dock to the shelf within the shortest possible time frame. In addition to traditional print books, the monographs department manages CD-ROMs, DVDs, videos, and eBooks that are selected at the title-level, and purchased to own in perpetuity. More specifically, the Library Specialist in Monographs Acquisitions will be expected to: Accurately search and order monographs from the library’s primary vendors as well as from a multitude of secondary vendors (English language materials as well as non-English) Accurately receive monographs (approval and firm) in the Gelman’s integrated library system (Voyager) Distribute newly received monographs to other units or departments as appropriate Accurately prepare both electronic and paper invoices for payment Identify and resolve problems with orders and with book shipments Claim overdue titles in a timely manner Perform DLC copy cataloging Participate in rigorous quality control procedures as defined MARGINAL FUNCTIONS From time to time, the Library Specialist in Monographs Acquisitions will be asked to: Communicate with monographs vendors in writing and on the phone Participate in departmental and divisional meetings Respond to queries and solve problems raised by librarians and staff in other departments (like Collection Development and Reference) Collect and analyze operational, transactional, and collections related statistics Assist with the process for populating the New Book Shelf Search gift books and make preliminary de-selection decisions Support processes necessary for discarding books Provide back-up for receiving-dock staff Perform other related duties as assigned. May be assigned to other appropriate duties depending on library priorities. SUPERVISION RECEIVED This position reports to the Manager of Monographs Acquisitions, who in turn reports to the Head of Technical Services, who in turn reports to the AUL for Digital and Technology Services. SUPERVISION EXERCISED May assists in training and supervising students. BASIC QUALIFICATIONS Working knowledge of the English language (working knowledge of other languages is a plus) Familiarity with the use of computers (experience with a library ILS, and/or experience searching a major bibliographic database is a plus) High school diploma or equivalent combination of training and experience Two years of progressively responsible experience in a library or information systems environment Good attention to detail WORKING CONDITIONS Individuals in this position are required to lift boxes or bound journals weighing between 25 to 50 lbs., to push or pull book carts, to enter data and retrieve data from a computer using a keyboard. May be required to work with material (i.e. old or damages books) that have gathered dust or mold. Data entry/retrieval, sitting or standing for extended periods of time may be required.
