GWeb for Faculty

GWeb for Faculty is a component of the GWeb Information System, the BANNER module which allows access to certain information and services via the Internet.

Features of GWeb for Faculty include:
  • Viewing and printing up-to-date class rosters
  • Viewing transcripts, schedules and addresses of students in your classes
  • Entering your final grades
  • Viewing and updating your personal information

To access GWeb for Faculty, go to the myGW portal and click on the gweb info system link. You will need your User ID and PIN to login. If you need assistance obtaining your PIN, click on the "Don't Know Your PIN?" link and follow the given instructions.

Note: Usage for grade entry is currently optional, but we encourage you to submit your grades via the web.

FERPA

With easier access to student information comes the need for greater care in its dissemination. When you receive your GWeb for Faculty PIN, a statement regarding the "Family Educational Rights and Privacy Act" (FERPA) will be presented. This statement is also presented below for your information. By receiving your PIN, you are agreeing to comply with the University policies and procedures for use of student records and to comply with the provisions of FERPA. In addition, please review the "University Policy on the Release of Student Information" found in both the undergraduate and graduate University Bulletins. You will also find FERPA information throughout GWeb for Faculty.

Family Educational Rights and Privacy Act (FERPA)

Access to GWeb for Faculty will allow faculty members the ability to view transcripts, schedules and addresses of students in their classes. Therefore, it is important to remind you of the guidelines for release of student information. The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. ' 1232g; 34 CFR Part 99), first passed in 1974, is a Federal law that protects the privacy of student education records. Generally, schools must have written permission from the student in order to release any information from a student's education record. However, FERPA allows schools to disclose those records, without consent, to school officials with legitimate educational interest.

Schools may disclose, without consent, "directory" information, which is defined by GW to include: name, local address, and telephone number; name and address of emergency contact; dates of attendance; school or division of enrollment; field of study; credit hours earned; degrees earned; honors received; participation in organizations and activities chartered or otherwise established by the University (including intercollegiate athletics); and height, weight, and age of members of athletic teams.

Students may request that directory information not be released. Those who have done so will be flagged **Confidential**; their information will not be released to or discussed with a third party without written consent of the student. By receiving your GWeb for Faculty PIN and access to GWeb, you are hereby agreeing to comply with the policies and procedures of the George Washington University and the provisions of FERPA.

Faculty Grade Entry Instructions

UNIVERSITY POLICY STATES THAT ALL GRADES ARE TO BE SUBMITTED WITHIN FIVE WORKING DAYS AFTER THE FINAL EXAMINATION OR THE LAST CLASS MEETING.

The Office of the Registrar strongly encourages faculty to submit grades online via the GWeb Information System. You may access GWeb for Faculty through the myGW portal.
Click here for step-by-step (PDF) Faculty Grade Entry instructions. To obtain a paper copy of a Final Grade Sheet, the primary instructor (as designated in Banner) should contact the Office of the Registrar at (202) 994-4900.

The Final Grade Sheet (online or paper copy) includes student information which may affect your grading of individual students. You may call the Office of the Registrar at (202) 994-4900 if you need additional information about the various codes on the grade sheet.  The most important codes are defined below.

Definitions

LVL:  The level (00 = non-degree, 01 = undergraduate, 02 = graduate, 03 = consortium, 09 = alumni audit) for which the student is registered.

CRED HRS:  Credit hours for which the student has registered (may vary in the same class).

GRAD MODE:  C = Letter Grade, P = Pass/No Pass (undergraduate only), R = Credit/No Credit (graduate only), AU = Audit.

Online Grading Instructions:  In the column marked “Final Grade”, choose the grade you wish to assign for each student.  If you make an error, choose the correct grade from the drop-down menu, and resubmit.  Once an online grade sheet has been rolled to academic history, grade changes cannot be made online.  To make changes, you must submit a supplemental grade sheet.  Please do not leave any grades blank.

Paper Copy Grading Instructions:  Enter the grade you wish to assign for each student in the column marked, “Final Grade”.  Acceptable grades are listed at the bottom of each grade sheet.  If you make an error, please cross it out, enter the correct grade, and put your initials beside the correction.  Please do not leave any grades blank.

Withdrawals:  An instructor cannot assign a grade of 'W'. A student who has officially withdrawn from a course will have a preprinted grade of 'W' and credit hours of '00'. Students who stopped attending but remain registered should be graded on the basis of any work they did complete relative to the full requirements of the course. If they did not attend or attended only briefly, and completed no graded work, assign the grade symbol of 'Z'.

P/NP & CR/NC: The grades of 'P' (Pass) or 'NP' (No Pass) may only be entered for those students registered for the P/NP grade mode, 'P'. 'CR' (Credit) or 'NC' (No Credit) may only be entered for students registered for the CR/NC grade mode, 'R'.

Auditors: A student registered as an Auditor will have the grade 'AU' preprinted as the final grade.

Incomplete: Incomplete grades should be given only when extenuating circumstances prevent the student from completing the required work with the rest of the class. An incomplete will be changed to an 'F' grade if a grade is not submitted within the allotted time (see Dean's Office).

In Progress: In Progress, 'IPG', grades may only be assigned in self-paced courses (as noted under "type" at the top of the grade sheet) and cannot be submitted via the web.

Missing Student: Only students who have officially registered for the course may receive a final grade. Please consult with the Office of the Registrar for additional information.

Signature (For paper copies only; authentication to the GWeb system is an electronic signature.):  Please be sure that the grades are clear on all copies. Your signature is required on the Registrar's Office copy of each page. Please provide office and home numbers.
